Essential Functions and Primary Duties

ES Payments & Extensions

  • Preparing roll forms
  • Preparing ES vouchers
  • Preparing extension vouchers
  • Preparing $0 extensions
  • Overriding voucher amounts and manually adjusting filing instructions with ‘TBD’, ‘Paid’, etc. and getting them to print correctly out of Axcess

Tax Preparation

  • Preparing certain tasks, which are easy but time consuming, that are part of the tax preparation of a return such preparing check spreads for monthly statement
  • Pulling PBC documents into the binders (Seniors/Managers send the PBCs directly to this person to drop into the binders). If possible, also checking if all the documents from prior years that are included in prep every year are received, which could reduce the time spent my tax staff putting down work for open items
  • Rolling Caseware binders including other related tasks such as:
    • Rolling the amounts from EOY to BOY in standard workpapers
    • Updating WP
    • Importing a Trial Balance
    • Workbooks, ES summaries, etc.
  • Cash Reconciliations – reconciling cash balances and recording yearly activity for smaller entities
  • PBC lists – rolling dates, etc. from previous versions
    • Chase PBC lists and similar tasks.
  • Export return versions to BNA/ensure taxable income agrees to return version – reconciling BNA to the return can be time consuming (other taxes/itemized deductions often do not export correctly)

Scheduling

  • Assigning FF’s based on WIPs – assign individual FF projects (and confirm correct staff/senior/manager are on the future workflow) by copying admin person on emails assigning the work to staff/senior (staff/seniors to update their own WIP)
  • Preparation of budgets for large jobs
  • Updating Firm Flow with budgets, actual hours and routing Firm Flows to staff based on email assigning work from manager/senior. Compares Firm Flow to WIPs
  • Prepare long-range schedule based on input from team
  • Running prior year time reports, emailing staff items to add to WIP, routing firm flow

Other

  • Preparing YEP agendas
    • rolling dates, etc. from previous versions
  • Following up on request lists sent to client- I believe it would be helpful to have someone call clients on outstanding open items once a staff/ senior has identified those items

Minimum Qualifications Required

  • High School Diploma or GED required along with 2 years of accounting experience. Associate’s degree preferred
  • Exceptional customer relations skills
  • Ability to manage time effectively
  • Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Proficient use of applicable technology
