CBIZ MHM is currently looking for an administrative coordinator to support our Accounting, Tax, & Advisory Department in our Chicago, Illinois office. This position will have administrative responsibilities in the areas of tax processing and scheduling.

Essential Functions and Primary Duties

  • Handle tax return processing duties such as tax return assembly and maintenance of filing status
  • Manipulating tax returns in Portable Document Format to make ready for clients to file.
  • Monitoring workflow of tax returns and extensions. Be familiar with different types of tax returns and their due dates
  • Keep track of filing addresses and make appropriate mailing envelopes for clients.
  • Frequently run reports and keep Managers and Directors up to date
  • Coordinate and Maintain Staff Schedules for the office
  • Request, Evaluate and Input Client Schedules for both Attest and Tax Engagements
  • Work with Project Managers to resolve potential conflicts with staff schedules
  • Coordinate with the office to schedule Interns on unscheduled work during tax season
  • Frequently Run Scheduling reports and keep directors and Managers up to date
  • Effectively operate all department equipment and software applications
  • May conduct research; produce reports
  • Provide reception relief for all breaks and lunches
  • Administer special projects as requested; communicate status

Preferred Qualifications

  • High School diploma or GED required; Bachelor’s degree preferred
  • 3 or more years’ experience in office environment
  • Ability to quickly stop on one project to assist a co-worker, then get back to the first task at hand.
  • Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
  • Proficient use of Microsoft Office, Adobe Acrobat, and ability to learn new computer applications
  • Ability to work in a team environment as well as independently
  • Work experience in professional services firm preferred
  • Flexibly to work late and on weekends on short notice.

Qualifications Required

  • High School diploma or GED required; Bachelor’s degree preferred
  • Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
  • Proficient use of applicable technology
  • Ability to work in a team environment as well as independently
