This position will provide executive level support to the Senior Managing Director and Director, Operations & Finance.  He/she will perform a variety of administrative duties to effectively maximize the leader’s productivity and time. In addition, he/she will be responsible managing the day to day facilities/operations of the Boston and Providence offices. This positon will require work outside of standard business hours.

Essential Functions and Primary Duties

  • Provide administrative support to the Senior Managing Director and Director, Operations & Finance on a daily basis, including complex calendar management, meeting agenda creation and communication, preparation of expense reports and client correspondence.

  • Manage internal and external meetings, including site/location, agenda, slide deck and materials creation, pre and post event participant communication audio visual and catering coordination.

  • Manage local building management relationships, facilitate work orders and resolve facilities related issues or concerns.

  • Oversee office space planning, including construction management and related projects

  • Manage vendors and service agreements for both offices relative to office supplies, catering, document management and other providers.

  • Plan and execute all aspects of large scale, annual company events including venue selection, vendor management, entertainment and menu planning.

  • Manage administrative resources scheduling to ensure appropriate functional and operational coverage

  • Lead projects focused on improving efficiency and effectiveness of administrative and operational processes

  • Facilitate teams or task forces assigned to review, establish and implement new operational or administrative systems and procedures

  • Manage client/employee gift and entertainment programs.

  • Provide day to day supervision of reception and mail room staff

  • Partner with Marketing and Human Resources team members to create, edit and distribute quarterly newsletter

  • Additional responsibilities as assigned

Preferred Qualifications

  • Prior experience in the public accounting industry or a professional services environment

  • Prior office or facilities management experience

  • Ability to effectively manage projects to completion within stated deadlines

  • Strong initiative and independent problem solving skills

  • Prior supervisory experience

  • Highly competent in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat DC and Concur

Qualifications Required

  • 5 or more years of executive administrative experience in a fast paced, deadline driven professional office environment

  • High School diploma or GED required; Bachelor’s degree preferred

  • Demonstrated ability to communicate effectively both verbally and in writing throughout all levels of an organization, internally and externally

  • Professional discretion and the ability to handle sensitive and confidential information

  • Energetic, approachable and positive presence combined with strong interpersonal skills

  • Superb attention to detail and organizational skills

  • Ability to prioritize work, multi-task and complete assignments independently

  • Flexibility and the ability to split time between Boston and Providence offices

  • Ability to work in a team environment, as well as independently
