The Distribution Representative is responsible for the shipment of a large number of overnight packages, working internally with customer service representatives to meet client needs, purchasing and internal mail processing.  The successful candidate will also verify and keep records on incoming/outgoing shipments and prepare items for shipment by performing the following duties:

Job Purpose / Objective

  • Maintains the quality of the equipment in the Distribution area
  • Sorts and separates paychecks
  • Follows instructions requested by client on processing checks (stuff and seal checks, do not seal checks, etc)
  • Follows delivery instructions requested by client
  • Uses shipping software to enter company data and ship the payroll as requested
  • Maintains inventory of shipping materials and supplies
  • Assists with counting and shipping W-2’s, marketing materials, etc. as needed
  • Responsible for collecting and processing all company mail daily
  • Responsible for posting all mail under the correct company account (Flex, COBRA, CPI, etc)
  • Responsible for shipping all company UPS packages
  • Assists in locating tracking numbers for UPS packages as needed
  • Additional responsibilities as assigned

Essential Functions and Primary Duties

  • Input data into software within required deadlines accurately
  • Record necessary changes/updates as appropriate
  • Ensure all internal controls and procedures are followed for accuracy
  • Assist Specialist with customer service needs according to commitments and standards set forth by the department
  • Work to understand new department processes, procedures and/or programs
  • Effectively operate all department equipment
  • Assist internal and external clients with requests and problems in a timely manner
  • Additional responsibilities as assigned

Minimum Qualifications Required

  • High School Diploma or GED required; Bachelor’s degree preferred
  • Acute detail and accuracy skills
  • Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Excellent customer relation skills
  • Proficient use of applicable technology
  • Ability to work in a team environment as well as independently
  • Ability to prioritize multiple responsibilities and pay close attention to detail on many, varied tasks
