CBIZ is seeking a Corporate Communications Executive Assistant to support the management team in our corporate office. The Corporate Communications Executive Assistant will provide high-level administrative and analytical support to executive leader/s or executive team, respond to requests, manage correspondence, receive visitors, arrange conference calls, schedule meetings efficiently and thoughtfully, and interface with high–level internal and external constituents thus must represent CBIZ and the respective executive leader and / or team in the highest professional manner.

Essential Functions and Primary Duties:

  • Schedule and maintain executive’s calendar to include arranging travel
  • Processing expense reports for the management team
  • Write and edit internal communications, including employee memos, organizational announcements, agendas, presentation materials, and talking points
  • Plan and oversee preparation for on and off-site meetings including arranging logistics, creating and maintaining agendas and material preparation
  • Work collaboratively with other administrative assistants to execute meetings, events and key projects seamlessly
  • Schedule / coordinate travel and logistics needs
  • Create/edit PowerPoint presentations
  • Take initiative to proactively pull together documents, presentations and other materials for key projects and meetings
  • Assist with various projects supporting management and other team members
  • Prudently manage confidential and critical information
  • Greet callers and visitors, assess needs and provide solutions
  • Read, prioritize and distribute all forms of incoming correspondence
  • Prepare incoming and outgoing mail
  • Additional responsibilities as assigned

Minimum Requirements:

  • High school diploma or GED required; Bachelor’s degree preferred
  • 5 years of executive administrative experience in an office environment  
  • Strong writer  
  • Demonstrate ability to handle multiple tasks simultaneously
  • Exceptional organizational skills required
  • Ability to produce quality professional material within deadlines
  • Proficient use of applicable technology
  • Must present highest professional decorum given position placement and access to confidential information
  • Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
  • Ability to work with minimal supervision while fulfilling all requirements
