Efficiently and accurately scans, indexes, and quality checks documentation as well as provide administrative and project support to maximize efficiency, ensure successful day-to-day operations of the company, and ensure excellent customer service. Support and handle projects for the teams as needed. 

Essential Responsibilities & Primary Duties: 

  • Prepares documents prior to scanning according to policies and procedures
  • Efficiently scans documents and enters/assigns them into the correct indexes
  • Verifies that each document is legible and indexed properly
  • Maintains and troubleshoots scanning equipment when necessary
  • Maintain the back-end filing system of paper copies of incoming mail for Administration Outsourcing department
  • Provide administrative support functions for overall company (e.g. scanning, copies, report binding, deliveries, outgoing/incoming mail, special orders)
  • Serve as liaison to organize and support general office areas and operations, including maintaining a clean, organized work environment
  • Track and follow up on administrative items to ensure timely response and closure
  • Assist in documenting administrative procedures
  • Provide other internal support services, as requested

Minimum Qualifications: 

  • Bachelor's degree preferred but not mandatory.
  • Experience in related fields a plus.
  • Detail-oriented and superior organizational skills
  • Works with a sense of urgency
  • Strong technological skills. Computer experience in Microsoft Office (Word, Excel, Power Point, Access, Outlook) preferred
  • Excellent interpersonal, verbal and written communication skills
  • Effectively manages deadlines under pressure, irregular activity schedules, confidential information and frequent unscheduled interruptions
  • Successfully manages multiple projects concurrently
  • Works independently and with minimal supervision
  • Takes initiative, anticipating needs
  • Experience with basic office systems and general technology (faxes, copiers, meter machines)
  • Ability to bend over, stand or sit for long periods of time, and lift up to 20lbs.
