Essential Functions and Primary Duties:

Works as an integrated team member supporting professional staff and ensuring high quality, efficient client service while adhering to standardized processes and performing specified services

  • Monitors admin in-box shared by multiple locations and shoulders fair division of work, in addition to duties for specific local directors
  • Manages billing process for selected directors
  • Supports director level business related needs including but not limited to managing calendars, expense reports and travel arrangements
  • Performs tax assembly quality check and distributes client deliverables
  • Tracks and secures client e-file authorization forms
  • Creates and distributes organizers and engagement letters
  • Performs new client set-up in database
  • Produces financial statements for audit clients
  • Coordinates meetings, lunches, trainings, etc.
  • Produces reports as needed and directed
  • Provides back-up to other admin team positions, as needed

Preferred Qualifications:

  • 3-5 years of administrative support experience

Minimum Qualifications:

  • High School Diploma or GED required
  • At least 2 years of administrative support experience
  • Working knowledge of the public accounting or professional services firm desirable
  • Solid database management skills and attention to detail
  • Able to manage deadlines, work efficiently on multiple projects and prioritize assignments
  • Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally.
  • Excellent Word, PowerPoint, Excel, Access and Outlook skills preferred
  • SalesForce knowledge a plus
  • Effective project management and communication skills
