Essential Functions and Primary Duties:

  • Reviewing and scanning client documents
  • Filing of paper or electronic documents
  • Collating and preparing work papers
  • Logging of each job in the appropriate workflow systems
  • Returning client records
  • Preparing checklist of information
  • Drafting Engagement Letters
  • Drafting Client Year End Planning Agendas
  • Contacting clients for any missing information
  • Typing of letters and simple reports
  • Dealing with office correspondence, including forwarding as required
  • Printing and binding of finalized documents
  • Preparing final invoices when work completed
  • Additional administrative duties may include helping with break room upkeep, setting up desks/offices for new hires or answering the phones

Preferred Requirements: 

  • Experience in a professional services environment
  • Demonstrated interest in pursuit of following an administration career with a genuine interest in business activities
  • Displays each of the following attributes - excellent work ethic / dedication / punctual / initiative / personality / pro-active / attention to detail / organized / self-motivated
  • Confident enough to develop relationships and build rapport with staff, business partners and clients

Minimum Requirements: 

  • High school diploma or GED required; Bachelor’s degree preferred
  • 3 years of paraprofessional and executive administrative experience in an office environment
  • Demonstrated ability to handle multiple tasks simultaneously
  • Exceptional organization skills required
  • Ability to produce quality professional material within deadlines
  • Must present highest professional decorum given position placement and access to confidential information
  • Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
  • Ability to work with minimal supervision while fulfilling all requirements
  • Proven proficiency with Microsoft Office and document management systems
