As a key member of the New England team, this position will provide high level administrative support for the business unit Senior Managing Director.  In addition, he/she will partner closely with local Human Resources to provide internal client service to create an outstanding work experience and foster employee engagement.  He/she will perform a variety of duties to ensure a consistent, efficient candidate and new hire onboarding experience for all team members.  In addition, he/she will be responsible for providing Human Resources services and coordinating day to day HR activities for the Boston and Providence offices.

Essential Functions and Primary Duties

  • Provide executive administrative support to the SMD on a daily basis, including complex calendar management, preparation of expense reports and client correspondence
  • Coordinate and facilitate new employee onboarding program, including pre/post arrival communication and processing, first day/week/month activity coordination.
  • Act as the initial contact for employee questions and requests. Provide guidance and assistance and escalate concerns to other HR team members and senior management when appropriate.
  • Partner with local Human Resources and National Recruiting team to coordinate and facilitate onsite interviews in order to ensure a positive, memorable candidate experience.  Assist with candidate management and communication
  • Collaborate with local Human Resources and Campus Recruiting team to create and implement university recruiting strategy.
  • Support Human Resources and practice/functional team leaders in the design and coordination of internship and co-op programs that provide value to both the students and the business.
  • Support national and local training programs and initiatives through communication with team members and management of the firm’s LMS, MyLearn
  • Coordinate and facilitate GP2 initiatives, including CBIZ Cares, Green Team, CWA, etc.
  • Administer employee professional development programs including Becker CPA review and educational assistance. 
  • Track and report on CPA licensing progress/attainment.
  • Manage employee memberships and event registrations for MSCPA and RISCPA
  • Coordinate and process requests for employee recognition gifts for personal milestones, service anniversaries, bereavement and performance.
  • Administer local and national Best Place To Work programs
  • Communicate employee changes (hires, terms, promotions) to local teams to ensure that appropriate updates are made (i.e. DL lists, seating plans, etc.)
  • Assist with preparation and execution of large scale annual company events including site/venue selection, agenda, slide deck and materials creation, pre and post event participant communication audio visual and catering coordination
  • Partner with Operations, Marketing and Human Resources team members to create, edit and distribute employee communications, including weekly Operations emails, quarterly newsletter and other materials
  • Additional responsibilities as assigned

Preferred Qualifications

  • Prior experience in the public accounting industry or a professional services environment
  • Strong initiative and independent problem solving skills
  • Highly competent in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat DC

Qualifications Required

  • 3 or more years of administrative experience in a fast-paced, deadline driven professional office environment
  • High School diploma or GED required; Bachelor’s degree preferred
  • Strong client service skills and the ability to follow through to task completion
  • Energetic, approachable and positive presence
  • Professional discretion and the ability to handle sensitive and confidential information
  • Demonstrated ability to communicate effectively both verbally and in writing throughout all levels of an organization, internally and externally
  • Ability to prioritize and organize work, multi-task and complete assignments independently with accuracy and high quality
  • Ability to work in a team environment, as well as independently
  • Ability to occasionally travel between Boston and Providence offices
  • Flexibility to work outside of standard business hours.
