CBIZ is seeking a National Resource Administrator. The National Resource Administrator organizes and manages the schedules of the professional staff for centralized offices to manage all client engagements specific to Tax and Attest work, serve as the engagement feedforward process administrator for attest and tax personnel, and serve as the scheduling system administrator for the National Resource Management team.     



Essential Functions and Primary Duties:

National Resource Management:

• Coordinate work flow for Audit and Tax engagements for centralized offices.

• Responsible for ensuring all daily projects are staffed appropriately based on the needs of each supported office.

• Maintain scheduling database for multiple offices including but not limited to: daily scheduling changes long-term scheduling, PTO requests, and all reporting needs.

• Assists Directors and Managers with long-term planning by facilitating the continuous scheduling process, examining and  tracking  scheduling needs, and providing reports and analysis as needed

• Prepare reports and present status of engagement scheduling for leadership and meetings.

• Lead scheduling  meetings for centralized offices

• Develop and maintain professional relationships with leadership in supported offices and scheduling resources in other offices.

• Coordinate local office training on scheduling software and national processes.

• Responsible for monitoring scheduled capacity versus budgeted capacity and adjust work schedules to maximize utilization.

• Responsible for monitoring capacity and availability and report findings to management.

• Proactively monitor utilization, availability and leverage of practice personnel on all engagements.

• Facilitate efficient resource management processes to meet current and future business needs and objectives.

• Coordinate with local HR and Management to administer the engagement Feedforward process for assigned office(s).

• Responsible for implementing national projects in the local office 

• Facilitate the sharing of resources between all CBIZ offices.

Data Management and System Support:

• Manage the Help Desk Ticket system for scheduling software issues. Troubleshoot and provide solutions to field users.

• Serve as a technical point-of-contact for assigned functional areas.

• Assist in the review, testing and implementation of system changes and/or upgrades.

• Serve as key liaison for field system support and functional team members to ensure effective definition and delivery of the system application.

• Manage system code tables for consistency and accuracy.

• Possess a solid understanding of the Financial Services division system interfaces and all other interfaces with national scheduling software.

• Provide system support for the resource management functions including but not limited to, researching and resolving system issues/problems, unexpected results or process flaws.

• Recommend process/service improvements, solutions, or process changes and discuss with leadership for approval prior to implementation.

• Foster and maintain positive relationship with field users and other technical departments.

• Identify and report findings of field user issues and needs to leadership.

Additional:

• Update functional departmental documentation and standard operating procedure guides as needed.

• Provide overall project assistance for a given or designated national resource management initiative.

• Perform project-oriented work as directed by the Practice Management Office team.

• As requested, participate as a task force or committee member that requires national resource management representation.

• Maintain technical skills and industry knowledge through continuing education programs.

• Perform all other duties as assigned.

Preferred Requirements:


• The successful candidate will have a Bachelor’s Degree or equivalent work experience

• Two to five years of job-related experience

• Working knowledge of the public accounting or professional services firm desirable

• Strong understanding of scheduling processes and data management

• Flexible mentality: willing and capable of performing varied tasks

• Exceptional proficiency in Word, Excel, Project, and PowerPoint 

• Must possess the ability to interact and communicate with a variety of different levels of staff including technical and non-technical users

• Strong project management, interpersonal, organizational planning and time management skills

• Exceptional communication skills and problem-solving ability



Minimum Requirements:


• High School Diploma or GED 

• At least 3 years of accounting experience

• Ability to work in a team environment as well as independently

• Must maintain current required licenses and certifications relevant to field of expertise

• Proficient use of applicable technology

• Demonstrated ability to communicate verbally and in writing throughout all levels of the organization, both
internally and externally
