We are seeking a Proposal & Pursuit Senior Specialist to join our team.  The Proposal & Pursuit Senior Specialist is responsible for the development of proposals across a wide variety of industries, the development and management of proposal content, proposal reporting and serves as a key member of the national pursuit team providing sales administration and proposal support, when needed. Successful candidates thrive under pressure, have strong organizational skills and attention-to-detail, demonstrate excellent written and verbal communications skills and possess the ability to successfully track and monitor key proposal reporting metrics. This is a dynamic position that requires the ability to help with a number of medium to large efforts simultaneously, lead smaller proposal efforts or proposal sections, collaborate with teammates and executive leadership, and produce high quality work in fast-paced, deadline-driven environment. The proposal specialist must be able to take initiative and work independently or with a team.


Primary responsibilities include:

Proposal Development and Management (40%)

    Leads and executes proposal planning and development activities such as pre-RFP planning/preparation for nationwide/regional RFP responses and medium to large proposal opportunities.

•        Creates proposal plan and timeline, proactively facilitating all necessary meetings (i.e. kickoff, updates, recaps).

•        Responsible for document finalization/delivery as well as proposal team lessons learned follow-up and documentation; and direct proposal closeout/information management on all inbound proposal requests.

•        Writes, edits and formats all proposal drafts in a clear, concise and persuasive manner—customizing each draft with primary content specific to the prospects needs, pain points and our value proposition.

•        Maintains voice and tone consistent with organizational standards.

•        Promotes best of breed content and new assets to be incorporated into the proposal document library.

•        Tracks all proposals and pursuit timelines, ensuring deadlines are met and opportunities logged for tracking purposes.

•        Adheres to organizational graphic and branding standards.

Proposal Content Development and Management (40%)

•        Serve as primary contact for proposal software for the financial services team.

•        Develops industry and service-related content on ongoing basis.

•        Develop and maintain a library of standardized proposal content for reuse and optimization.

•        Develop and maintain a library of standardize proposal and pursuit presentations templates available in the proposal software.

Proposal Reporting and Trends (10%)

•        Proactively track and report on proposal metrics and trends; including win rate, industry trends; national/regional/local KPIs.

Pursuit Support (10%)

•        Serve as project management lead on national pursuits, working closely with the Chief Growth Office, business development and pursuit team.

•        Assist with development of national pursuit process for small to medium proposal opportunities.

•        Ability to quickly pull pursuit-specific reports via CRM databases.

•        Create and maintain pursuit materials, including, but not limited to, presentations, collateral, client lists.

•        Track national-level pursuits, win rates and key trends.

Qualifications Required:

•        5+ years’ experience personally producing proposals and managing proposal efforts.

•        Excellent proposal management skills including strong attention to detail, planning, organization, synthesizing technical solutions into writing, problem identification and resolution, and resource management skills.

•        Exceptional written and verbal communications skills with background in AP style.

•        Strong project management and organizational experience, including delegation skills.

•        Solid communication skills, comfortable working closely with leaders across a matrixed organization.

•        Knowledge and experience in writing proposals focused on financial services preferred.

•        Must have Adobe InDesign, MS Word, PowerPoint and Salesforce experience.

•        Qvidian experience preferred.

•        Strong interpersonal skills and prior experience leading multi-disciplinary teams and working collaboratively.

•        Must be flexible, self-motivated, able to prioritize multiple tasks, coordinate shifting priorities, respond to short-term deadlines, and carry a diverse workload with tight timelines.
